THE WESTERN MICHIGAN SOCIETY FOR INDUSTRIAL HERITAGE

A regular meeting of members/directors of The Western Michigan Society for Industrial Heritage was held at 7:00 pm, at Coopersville Farm Museum, Coopersville, Michigan on 18 August 2003, pursuant to schedule and notice e-mailed 18 August 2003, to the membership.

  1. Secretary/Treasurer Cok at 7:12 p.m opened the meeting.
  2. Roll call was taken. Members present: Duane Bowman, Mary Chubinski, Tom Chubinski, Philip Cok, and Russ Osterhart. Five members present satisfies quorum requirement (5 required).

  3. Mary Chubinski was asked to preside over the meeting and presented the agenda for the meeting.
    Upon motion made (Osterhart), seconded Bowman), and approved, the agenda for the meeting was passed as presented.
  4. Approval of minutes
    Minutes of the previous meeting of 21 July 2003 was presented for approval. Other than typographic corrections, the minutes were presented as written.
    Upon motion made (Osterhart), seconded (T. Chubinski), and approved, the minutes for the 21 July 2003 meeting were approved as presented.
  5. Treasure's Report
    Treasurer Cok reported that there was no income or expenses in the last month other than interest income of less than $1.00. Members were referred to the balance sheet reported on last month, which showed the money market balance of $875.10. Upon motion made (Osterhart), seconded (Bowman), and approved, the treasurer's verbal report was accepted.
  6. Membership Report
    The rolls of the Society show 14 current members. Ten annual individual memberships, two lifetime memberships, and two family memberships.
  7. By-laws Update
    Secretary Cok reported on the initial meeting with Attorney Lemmen and the current review being undertaken by Sec. Cok and C. Timmerman. The information will be presented to Mr. Lemmen prior to the next Society meeting with an update at that time.
  8. Menasha Project.
    Secretary Cok reported he had requested a detailed accounting for IRS reporting purposes from West Shore Services this morning and had forwarded a copy of the 21 July 2003 minutes as reference (item #7).
  9. Handicap Car Project
    A). By/Sell agreement. Sec. Cok has started pulling together information to be e-mailed to President Hanenburg. Subsequently, they will work out a finalized agreement to be presented to the Du Pilka's.

    B). Marketing Materials.
    B) 1. Member Cok presented a first draft of a trifold to be used for general distribution. All members are requested to review the information for suggestions, omissions and/or deletions. Several typographical errors were noted for correction.

    B) 2. Cok requested Tom Chubinski to query his contact with the Pennsylvania Historical Society for an original floorplan and the possibility of photo availability. He also noted two photos used belong to the California State Railroad Museum Foundation (CSRMF). Secretary Cok will write to the CSRMF to request permission to use the same with appropriate credit lines.

    B) 3. Phil Cok will convert the document to PDF and forward to any member wishing to have an electronic copy. It will also be posted on the website for viewing/download. Phil will print several copies to be distributed with the minutes and send additional copies to Carl Sinke for review with his brother-in-law.

    B) 4. For major donor presentations, a bound, 8.5 x 11" document will be prepared that includes additional supporting documentation.

    B) 5. Mary Chubinski will draft a receipt for membership dues and/or donations to reflect the non-profit donation benefits/requirements per her foundation connections and forward it to Secretary Cok.

    B) 6. In connection with membership dues, discussion was held regarding some benefit for membership. Possibly with discounts on the C&M train. Coordination of such benefits need to be brought before the C&M Board of directors.

    B) 7. Sec. Cok provided copies of page 17 of a brochure he purchased the California State Railroad Museum Foundation. It depicts a fully renovated Pullman car identical to the PRR Coach we will be renovating. This may be a good sample of "AFTER" to compare with the existing condition of our car.

    B) 8. Sec. Cok also provided for review a copy of the CSRMF web page covering their "accessibility" statement. This top-of-the-line railroad museum cannot accommodate wheelchair bound individuals on excursion train ride. Our ability to accommodate handicap individuals will be unique nationwide!


    Duane Bowman, conductor for the C&M, related an incident during this year's Summerfest where a wheelchair bound individual scooted and pulled himself step-by-step up into an exisitng C&M coach to finally situate himself on a bench at the rear of the coach in order to "ride the train".

    C). No progress has been made in closing up the PRR car to protect it from further deterioration and/or vandalism. Tom Chubinski will follow up with Fred Florshinger on this item. Russ Osterhart volunteered his services to help. At the last membership meeting authorization was given to spend up to $100 on materials needed to do this.

    The next meeting of the Western Michigan Society for Industrial Heritage will be 22 September 2003, 7:00 p.m. at the Coopersville Farm Museum.
  12. There being no further business, upon motion made (Bowman), seconded (Osterhart) and approved, the meeting was adjourned at 7:45 p.m.

The next regularly scheduled meeting of the Industrial Heritage Society membership is Monday, 22 September 2003. The meeting will be held at the Coopersville Farm Museum, 375 Main St., Coopersville Michigan at 7:00 pm. All members are encouraged to attend.
